Terms and Conditions — Payments, Cancellations & Refunds

This page sets out the Roam Wisely Travel Terms and Conditions, including how payments, booking deposits, cancellations, refunds, supplier terms and Roam Wisely Travel fees work.

Travel bookings often involve airlines, hotels, tour operators, cruise lines, wholesalers, car hire companies, rail providers, insurers and activity providers. Each supplier may have its own terms, fees and refund timeframes. These Terms and Conditions apply in addition to the supplier terms that apply to your quote, itinerary or booking.

Important booking note

These Terms and Conditions are provided before you enter into a sale with Roam Wisely Travel. A quote does not guarantee availability or price until your booking is confirmed and the required payment has been received. Supplier prices, fare rules, room availability and cancellation terms can change before booking.

Acceptance of these terms

Before Roam Wisely Travel can confirm a booking, the customer must confirm that they have received, read and accepted these Terms and Conditions, along with the supplier terms that apply to the travel services in their quote.

1. Terms provided before booking

These Terms and Conditions are made available before you confirm a booking with us. We may also include links to these terms in quotes, invoices, itineraries and customer emails.

2. Acceptance required for each booking

For each booking, you will be asked to confirm by email or written instruction that you have received, read and accepted the Roam Wisely Travel Terms and Conditions and the relevant supplier terms.

3. Supplier terms also apply

Your booking is also subject to the terms and conditions of each travel supplier included in your quote or itinerary. Supplier terms determine whether changes, cancellations, refunds or credits are available.

Payments

How payments work

Different parts of your trip may have different deposit and payment rules. These will be shown in your quote or invoice before you decide to proceed.

1. Planning deposit

When you move beyond the free initial consultation and request a detailed, personalised itinerary, a planning deposit of $150 AUD may be required before in-depth planning begins.

2. Booking deposit

Once you approve your itinerary and are ready to confirm your travel arrangements, a booking deposit may be required to secure reservations. The amount and due date will be shown in your quote.

3. Final payment

Final payment dates vary by supplier and service type. Some bookings must be paid in full before ticketing or final confirmation. Payment due dates will be shown on your invoice.

Planning deposit credit

If you proceed with your booking through Roam Wisely Travel, the planning deposit is credited in full toward your final booking. If you decide not to proceed after the itinerary has been prepared, the planning deposit is retained as payment for the professional planning work completed.

Roam Wisely Travel fees

The fees below are Roam Wisely Travel fees. They are separate from any supplier fees, fare differences, cancellation charges, refund fees, card fees or third-party costs.

Booking amendment / change assistance $50 per booking change request Applies where manual work is required after a booking has been confirmed. Supplier fees and fare differences may also apply.
Name correction / name change assistance $50 per traveller Applies where a traveller name needs to be corrected or changed after booking. Supplier approval, supplier fees and fare differences may also apply.
Cancellation processing $100 per booking Applies where Roam Wisely Travel is required to process a cancellation, supplier refund request or credit request. Supplier cancellation fees may also apply.
Document reissue / administration $25 per request Applies where additional manual work is required to reissue documents, resend documents or complete extra administration outside the normal booking process.
Card payment surcharge As shown on the invoice or payment link Bank transfer and PayID options may be available without a card surcharge.

Supplier fees are separate

Supplier fees and conditions may vary by airline, hotel, tour operator, cruise line, wholesaler, insurer or other travel supplier. We will advise known supplier fees where they are available to us, but suppliers may also apply fees under their own terms and conditions.

Cancellation rules

Cancellations and refunds

Refunds are not based on timing alone. They depend on the supplier terms, fare rules, ticket conditions, package terms and any non-refundable components attached to your booking.

Supplier terms come first

Airlines, hotels, tour operators, cruise lines, wholesalers, event providers and other suppliers may charge cancellation fees or treat some booking components as non-refundable.

Roam Wisely Travel fees may also apply

Any Roam Wisely Travel cancellation, amendment or service fees will be shown in your quote or advised before we process the change where possible.

Some bookings are non-refundable

Flights, event tickets, special promotions, package deals, prepaid hotels, supplier deposits and third-party services may be partly or fully non-refundable.

Partial refunds may apply

If only part of your booking is refundable, only the refundable portion can be processed. Non-refundable supplier charges cannot usually be recovered.

Refund timing

How refunds are processed

Refund timing depends on the supplier, the payment method and whether supplier approval is needed.

Roam Wisely Travel cannot guarantee supplier refund timeframes. We will follow up with suppliers where needed and keep you updated where there is a material delay.

Terms and responsibilities

Full booking terms

These terms apply when you ask Roam Wisely Travel to quote, plan or book travel arrangements for you.

1. Pricing and quotes
  • All prices are quoted in Australian Dollars (AUD) unless stated otherwise.
  • Prices may change due to availability, exchange rates, supplier pricing, taxes, fees and fare rules at the time of booking.
  • A quote does not hold availability or price unless stated in writing and confirmed by the supplier.
  • Your booking is not confirmed until the required payment has been received and the supplier has confirmed the travel arrangements.
2. Our role as travel agent

Roam Wisely Travel acts as a travel agent and intermediary for third-party travel suppliers, including airlines, hotels, tour operators, cruise lines, wholesalers, car hire companies, rail providers, insurers and activity providers.

Roam Wisely Travel’s Terms and Conditions apply to your booking in addition to the terms and conditions of each travel supplier listed in your quote or itinerary.

Supplier terms, fare rules, ticket conditions, cancellation rules and refund rules determine whether changes, cancellations, refunds or credits are available.

3. Deposits and payments
  • A $150 AUD travel planning deposit may apply before detailed itinerary planning begins.
  • A separate booking deposit may be required to secure travel arrangements.
  • Booking deposits may be non-refundable, depending on supplier terms.
  • Final payment dates vary by supplier and will be shown on your invoice.
  • Payments may be made by direct bank transfer, PayID or approved card payment method.
  • Card payments may attract a processing fee as shown on the invoice or payment link.
4. Customer acceptance of terms

Before a booking is confirmed, the customer must confirm that they have received, read and accepted the Roam Wisely Travel Terms and Conditions, along with the supplier terms that apply to the travel services in their quote.

This confirmation may be provided by email, signature, written instruction or another booking acceptance process used by Roam Wisely Travel. A new acceptance is required for each booking, even where a customer has booked with us previously.

5. Changes to confirmed bookings
  • Changes to a confirmed booking are subject to supplier approval and availability.
  • Date changes, name corrections, room changes, route changes or service changes may attract supplier fees and Roam Wisely Travel service fees.
  • Some bookings cannot be changed after confirmation.
  • Any fare, tax, currency or supplier price difference will be payable by the traveller.
6. Travel insurance

The Australian Government recommends that travellers take out travel insurance before travelling overseas. Travel insurance may help with cancellation costs, medical expenses, lost luggage, delays and other unexpected events, depending on the policy purchased.

Roam Wisely Travel can provide travel insurance options where available, but it is the traveller’s responsibility to read the Product Disclosure Statement and decide whether the cover is suitable.

7. Passports, visas and entry requirements
  • Travellers are responsible for ensuring passports, visas and entry documents are valid for their travel dates.
  • Some destinations require passports to be valid for at least six months beyond the return date.
  • Visa, vaccination, health, transit and entry requirements can change at short notice.
  • Roam Wisely Travel can help point you toward relevant information, but final responsibility rests with the traveller.
8. Supplier services and third-party providers

Travel services are supplied by third-party suppliers. We are not responsible for supplier delays, cancellations, schedule changes, service failures, insolvency, government restrictions, weather events or other matters outside our control.

Where possible, we will assist you with supplier issues, subject to supplier terms, our role as a travel intermediary and applicable law.

9. Travel restrictions and health requirements
  • Travellers must comply with airline, supplier, government, border, health and destination requirements.
  • Cancellations caused by government restrictions, health requirements, airline rules or border changes may still be subject to supplier cancellation terms.
  • Refund, credit or amendment options will depend on the supplier’s policy and applicable law.
10. Privacy and confidentiality

Roam Wisely Travel handles personal information in accordance with our Privacy Policy. We take reasonable steps to protect the confidentiality of customer information and only use or disclose personal information where reasonably needed to respond to enquiries, prepare quotes, arrange travel services, manage bookings, provide customer support, meet business record obligations or where required or permitted by law.

11. Complaints and dispute resolution

12. Australian Consumer Law

Nothing on this page limits any rights you may have under the Australian Consumer Law or other applicable legislation.

Refunds, credits, cancellations and remedies will be considered based on supplier terms, the nature of the service, applicable law and Roam Wisely Travel’s role as a travel intermediary.
