This page explains how payments, booking deposits, cancellations and refunds work when you book travel through Roam Wisely Travel. It covers timelines, fees, supplier rules and how refunds are issued so you can book with confidence.

1. Pricing & Quotes
- All prices are quoted in Australian Dollars (AUD) and include applicable GST where required.
- Prices are subject to change based on availability, exchange rates, and supplier pricing at the time of booking.
- A quote does not guarantee availability or price until a deposit or full payment is made.
2. Deposits & Payments
- 2.1 Planning Commitment Before Detailed Planning When you move beyond your free initial planning call or enquiry and request detailed personalised itinerary work, a planning commitment of $150 AUD is required before in-depth planning begins.
- This planning commitment is separate from any supplier deposit or booking deposit.
- If you proceed with your trip through Roam Wisely Travel, the $150 planning commitment is credited toward your final booking.
- If you decide not to proceed with booking through Roam Wisely Travel after the itinerary work has been prepared, the $150 is retained for the planning work completed.
- The planning commitment will appear as a credit line on your final invoice, reducing your remaining balance.
- 2.2 Booking Deposit (To Secure Your Trip) Once you approve your itinerary and are ready to confirm your travel arrangements, a non-refundable booking deposit may be required to secure your reservations. The deposit amount and due date will be clearly specified in your quote and may vary depending on the suppliers involved (e.g., airlines, hotels, tour operators).
- 2.3 Final Payment Full payment is required before ticketing or final confirmation of services. Payment terms and due dates vary by supplier and service type.
Payment options and any applicable payment processing fees will be confirmed before payment is made. Where a card processing fee applies, this will be disclosed before you choose that payment method.
Payments may also be available by direct bank transfer.
3. Cancellations & Refunds
- Cancellations may be subject to supplier cancellation fees (e.g., airlines, hotels, tour operators). These fees are outlined in their specific policies.
- Roam Wisely Travel fees may apply where they have been disclosed before booking. Any supplier cancellation or change fees are separate and depend on the supplierโs terms.
- Refunds, if applicable, will be processed based on the supplier’s policy and may take up to 60 days to be finalised.
- Some services, including but not limited to flights, event tickets, and promotional packages, may be non-refundable.
4. Amendments & Changes
- Changes to a confirmed booking may incur additional fees imposed by the supplier and Roam Wisely Travel.
- Date changes, name corrections, or service modifications are subject to availability and supplier terms.
5. Travel Insurance
- Travel insurance should be considered early. Cover, limits and exclusions vary by policy, so you should read the relevant Product Disclosure Statement and consider whether the policy is suitable for your trip and circumstances.
- Roam Wisely Travel is not liable for any loss, delay, or cost resulting from travel disruptions.
6. Passports, Visas & Entry Requirements
- It is the travellerโs responsibility to ensure all necessary travel documents, including passports and visas, are valid for their travel dates.
- Some destinations require passports to be valid for at least six months beyond the return date.
- Entry requirements, including vaccination or health-related regulations, vary by destination and are the travellerโs responsibility.
7. Liability & Responsibilities
- Roam Wisely Travel acts as an agent for airlines, hotels, car rental companies, tour operators, and other service providers.
- We are not liable for any delays, cancellations, schedule changes, or service failures by third-party providers.
- Any disputes regarding third-party services must be addressed with the relevant provider.
8. COVID-19 & Travel Restrictions
- Travellers must comply with all COVID-19 travel requirements, including testing, quarantine, and vaccination mandates imposed by airlines and governments.
- Cancellations due to government-imposed travel restrictions may be non-refundable based on supplier policies.
9. Acceptance of Terms
- By proceeding with a booking, you acknowledge that you have read, understood, and accepted these terms and conditions.
Refund and Cancellation Policy
Travel bookings often involve third-party suppliers such as airlines, hotels, cruise lines, tour operators, car hire companies and activity providers. Each supplier may have its own deposit, change, cancellation and refund rules.
If you need to cancel or change a booking, please contact Roam Wisely Travel as soon as possible in writing.
Any refund, credit or change option will depend on:
- the supplierโs terms and conditions
- the fare, rate or product booked
- how close the cancellation is to departure
- whether tickets, accommodation, tours or other services have already been issued or confirmed
- whether any non-refundable components apply
- any Roam Wisely Travel fees that were disclosed before booking
- your rights under Australian Consumer Law
Roam Wisely Travel may charge a $50 administration fee for cancellation or refund handling where this fee has been disclosed before booking.
This fee is separate from any supplier cancellation fees, non-refundable amounts or payment processing fees.
Where a supplier provides a refund to Roam Wisely Travel, we will pass on the refundable amount to you after any applicable disclosed Roam Wisely Travel fees have been deducted.
Supplier refunds can take time. Some refunds may be processed quickly, while others may take several weeks or longer depending on the supplier, payment method and booking type.
Refunds will usually be returned to the original payment method where possible.
This policy does not limit any rights you may have under Australian Consumer Law.
